Serve as a strategic and operational leader responsible for overseeing the Canadian Women’s Foundation fundraising database, related products and integrations, end to end data flow and technological infrastructure.

Responsibilities

Systems and Technology Management (30%)

  • Oversee the management, optimization, and security of Blackbaud and related platforms, including Raiser’s Edge, RE NXT, Luminate Online, Fundraise Up, and Omatic.
  • Lead, administer, monitor and maintain all aspects of security measures for the Foundation’s data and all information systems, including the Foundation’s website, Raiser’s Edge NXT, BBGM, QuickBooks online and Keeper.
  • Ensure Data Consistency throughout the different systems and guarantee its interconnectedness.
  • Lead enterprise-level system improvement and integration projects to enhance operational efficiency and user experience.
  • Troubleshoot and monitor the current integrations involving the fundraising database.
  • Implement and refine automated workflows using tools such as Power Automate and RE NXT Workflow Designer.
  • Leverage Blackbaud’s Marketplace apps/API Integrations to look for future enhancements of the donor database.
  • Manage all licenses and the Foundation’s accounts in web-based applications, different from Microsoft 365 environment. For example: Adobe Pro, Canva and Zoom accounts.
  • Act as the primary liaison with technology vendors and consultants.
  • Work in coordination with the Foundation IT Management Outsourcing.

Reporting, Analytics, and Data Strategy (30%)

  • Develop and maintain comprehensive reporting systems to support financial, fundraising, and operational planning.
  • Create dashboards and visualizations to monitor performance and inform strategy.
  • Support financial reconciliations and CRA T3010 filings through timely, accurate data reporting – support year-end financial auditing process.
  • Document business rules for coding, queries, segmentation, and reporting outputs to ensure clarity and consistency.

Data Governance and Quality Assurance (15%)

  • Lead implementation of data governance framework for fundraising and related data, and collaborate across departments to ensure adherence.
  • Establish and enforce data quality standards, cleaning routines, and duplicate management protocols. (For example, PCI Compliance).
  • Maintain up-to-date documentation including a data dictionary, SOPs, and user guides.
  • Ensure compliance with Canadian privacy legislation (PIPEDA) and CRA receipting regulations.

Organizational Planning and Collaboration (15%)

  • Support cross-functional planning by delivering actionable insights from Foundation data.
  • Partner with internal teams to continuously improve workflows, automation, and system utilization.
  • Participate in organizational strategic planning, special projects, and foundation-wide technology reviews.

Team Leadership and Development (10%)

  • Provide direct supervision, mentorship, and performance management to the Data Operations & Systems Analyst and Coordinator.
  • Define team goals and ensure workload distribution aligns with organizational priorities.
  • Foster a collaborative, high-performance culture team focused on innovation and accountability.
  • Support ongoing staff learning and development in tools, processes, and sector best practices.

Skillset

  • Minimum of 5 years of progressive experience in nonprofit data systems management, including Blackbaud Products administration, system integrations, and data operations.
  • Hands-on experience with Raiser’s Edge, RE NXT, Luminate Online, Fundraise Up, and Omatic; Professional-level Blackbaud certification is an asset.
  • Proficiency in Power BI, Excel, and other reporting tools to develop dashboards and visualizations.
  • Strong understanding of Canadian fundraising regulations, data privacy legislation (eg, PIPEDA), and CRA receipting rules.
  • Post-secondary education in information technology, data science, nonprofit management, or a combination of education and experience.
  • Proven experience supervising staff and managing cross-functional projects.
  • Proven experience in data migration projects.
  • Excellent project management, communication (verbal and written), and interpersonal skills.
  • Strong analytical and problem-solving capabilities with meticulous attention to detail.
  • Demonstrated ability to manage multiple priorities and deliver under tight deadlines.
  • Adaptable and self-directed with a high degree of initiative and professionalism.
  • Diplomatic and collaborative with a strong commitment to equity, confidentiality, and service excellence.
  • Proficiency in adopting and training others with varying levels of technical proficiency in new technologies (ie AI applications) is an asset.
  • Commitment to keeping up to date with evolving developments applicable to the role.
